What data we collect

From the quote form (RFQ)

When you submit a Request for Quote on this site, we receive: your name, company name (optional), email address, WhatsApp/phone number, country (or destination port), product enquiry, and any free-text comments you include. The form posts to a server at kohenoorint.com (a sister domain we own and operate).

From the lead-magnet (2026 Pricing PDF)

When you request the 2026 Pricing PDF, we receive: your name, business email address, and country.

From WhatsApp / phone calls

When you contact us via WhatsApp (+92-310-4929292) or phone, we retain the WhatsApp/phone number and chat history for the duration of our business relationship plus 7 years (Pakistani export-document retention norm).

Server logs

Our hosting provider (Cloudflare Pages) stores standard HTTP access logs (IP address, user agent, requested URL, response status) for security and abuse-prevention purposes for up to 30 days.

Analytics

HerbnSeed.com does not currently install Google Analytics, Microsoft Clarity, Hotjar, Meta Pixel, or other third-party analytics scripts. If we add analytics in the future, we will update this page and (where required by law) request your consent.

How we use your data

• To respond to your quote request — within 4 hours during PKT business hours.
• To send the requested PDF or brochure via email.
• To follow up on stale enquiries — typically one email or one WhatsApp 7-30 days after first contact, then ceased if no response.
• To send quarterly pricing newsletters ONLY if you opted in via the 2026 Pricing PDF lead magnet. Unsubscribe link in every email.
• To execute and document a shipment — your data may appear on commercial invoice, packing list, BL, and other shipping documents required by destination customs.
• To comply with legal obligations — Pakistani export law, anti-money-laundering checks, and destination-country customs requirements.

Who we share data with

We share your data only with parties necessary to fulfil your enquiry or shipment:

• Pakistan Plant Protection Department (for phytosanitary certificate)
• Pakistan Halal Authority and JAKIM-recognized certifying bodies (for Halal cert)
• Pakistan Chamber of Commerce / TDAP (for certificate of origin)
• Shipping line and freight forwarder (for BL, container booking)
• Your destination customs broker (only if you authorise this)
• Pre-shipment inspectors (SGS, Bureau Veritas, Intertek) only if you commission their services
• Cloudflare (our hosting + DNS provider)

We never sell, rent, or trade your data with marketing platforms, list brokers, or third parties unrelated to your shipment.

Where your data is stored

Buyer enquiry records are held on Pakistani-based servers operated by Kohenoor International. Email correspondence is stored in our Hyderabad office's email system (Microsoft 365 / Google Workspace). Cloudflare Pages caching and access logs are distributed globally per Cloudflare's privacy policy.

Your rights (GDPR + general international standards)

Regardless of where you are in the world, you can:

• Request access to your data we hold — email [email protected]
• Request correction of inaccurate data
• Request deletion of your data (subject to our legal obligation to retain export documentation for 7 years per Pakistani regulation)
• Withdraw consent for marketing emails — unsubscribe link in every email, or email us directly
• File a complaint with your local data-protection authority (e.g. ICO in UK, CNIL in France, Australian OAIC, etc.)

We respond to all data requests within 30 days.

Cookies

HerbnSeed.com uses minimal first-party cookies and localStorage for session state (e.g. remembering whether you've dismissed the SLA banner or the exit-intent popup). We do not use third-party tracking cookies or behavioural advertising cookies.

Children

This is a B2B agricultural export site. We do not knowingly collect data from children under 18. If you believe we have inadvertently collected data from a minor, contact us and we will delete it.

Changes to this policy

We may update this privacy policy as our practices evolve. The "last updated" date at the top of this page reflects the most recent change. Material changes will be communicated via email to active enquirers.
